Privacy Policy

This policy explains how ZEGO AI Assistant uses information, including the Google Calendar data needed for requested business meetings.

1. Scope and controller

This Privacy Policy applies to ZEGO AI Assistant, a website assistant operated by ZEGO for product information, solution guidance and meeting scheduling. It explains how information is handled when visitors interact with the assistant and when a ZEGO-authorized Google account is connected to Google Calendar.

It is specific to ZEGO AI Assistant. For information about other ZEGO websites and services, see the ZEGO website privacy policy.

2. Information we handle

Depending on the request, we may process:

  • Conversation content: questions, messages and information a visitor submits to the assistant.
  • Contact details: name, work email, company and other information a visitor chooses to provide.
  • Meeting details: requested date, time, time zone, attendee email, business purpose, event title, event ID and meeting link.
  • Service and security data: technical logs and usage information needed to operate, troubleshoot and secure the service, where collected.
  • Google Calendar data: event information accessed or written through the connected ZEGO-authorized account for meeting scheduling and management.

3. Why we use information

We use the information to respond to product questions; recommend relevant resources or solutions; coordinate requested meetings; create, update or cancel the associated calendar events when necessary; provide meeting information; respond to support or privacy inquiries; and maintain the reliability and security of the service.

We do not use Google Calendar data obtained through Google APIs to serve advertisements or build advertising profiles.

4. Google Calendar and Google Meet access

Who authorizes Google access? A designated ZEGO Google account grants OAuth access to the application. Website visitors requesting a meeting are not asked to authorize their own Google accounts.

The application requests Google Calendar permissions for calendar event operations, which may include creating, retrieving, updating and deleting events in the connected account according to the permissions granted. When a visitor confirms a meeting request, the assistant uses that access to arrange the relevant business event and, where supported, generate a Google Meet link.

  • Accessed: the connected ZEGO account’s calendar event information as needed for requested scheduling and event management.
  • Used: to create and manage appointments requested through ZEGO AI Assistant, coordinate participants and share meeting details.
  • Stored: event identifiers, scheduling details, relevant metadata and OAuth credentials where necessary to maintain the integration, subject to the safeguards and retention practices described below.
  • Shared: necessary event details with Google Calendar/Google Meet, invited attendees and authorized ZEGO personnel involved in the appointment.

Google user data accessed through Google APIs is used only to provide or improve the user-facing scheduling functionality, for security purposes or where permitted by applicable law. It is not sold, transferred to advertising platforms or used to train generalized AI models.

Use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. When information is shared

Information may be shared with authorized ZEGO team members responsible for responding to inquiries and attending meetings; with service providers supporting hosting, AI processing, email delivery, security or meeting operations under appropriate arrangements; and with Google where required to provide the Calendar and Meet integration.

Meeting invitations may reveal attendee names, email addresses, event details and meeting links to the invited participants. We may also disclose information when legally required or needed to protect against misuse. We do not sell personal information obtained through ZEGO AI Assistant.

6. Storage and retention

Conversation records, contact details and scheduling information are retained only for as long as needed to provide and support the requested service, meet legal obligations or resolve legitimate business matters, according to ZEGO’s applicable retention procedures. Calendar events may remain in the connected Google account under that account’s retention settings until changed or removed.

OAuth credentials, when stored, must be kept in access-controlled server-side systems; they are not intended to be exposed to website visitors. Records that are no longer needed should be deleted or de-identified in accordance with applicable retention and security requirements.

7. Security safeguards

We use reasonable technical and organizational safeguards intended to protect personal information and Google API credentials from unauthorized access, disclosure, alteration or loss. These safeguards include limiting access to authorized personnel and protecting authentication credentials. No online system can guarantee absolute security.

8. Your choices and privacy requests

Visitors may choose not to provide optional details. Scheduling a meeting requires enough information to coordinate the appointment, such as an email address and a suitable time. To request access, correction, deletion or other assistance relating to your information, use the contact information below, subject to applicable law.

The connected ZEGO Google account holder may revoke the application’s Calendar access from their Google account security settings. Revocation prevents further authorized API access until permission is granted again.

9. Changes to this policy

We may revise this Privacy Policy when the application or our data practices change. We will update the effective date and provide any additional notice or request consent when required.
